Refund Policy - the basics

WNY Spark Refund Policy

Effective Date: January 16, 2025

At WNY Spark, we are committed to providing high-quality tutoring services, events, programs, resources, and other community-focused activities. We understand that sometimes plans change, and we want to make our refund policy as clear as possible for our customers.

1. General Refund Guidelines
Refunds may be requested for the following services provided by WNY Spark:

Tutoring Services
Events & Workshops
Programs & Resources
Other services associated with WNY Spark activities
2. Timeframe for Requesting a Refund
Refunds for services can be requested within the following timeframes:

Tutoring Services: Refund requests for unused tutoring hours must be made within 7 days after the service has been purchased or the first session has occurred.
Events & Workshops: Refunds for events and workshops must be requested at least 72 hours prior to the event.
Programs & Resources: Refund requests for programs and resources can be made within 7 days of enrollment or purchase, provided the program has not started or resources have not been accessed.
3. Refund Amounts
Full Refund: A full refund will be provided under the following conditions:

The request is made within the specified timeframe and meets the criteria outlined below.
The service has not been used, or the event/workshop has not been attended.
For programs and resources, no materials have been accessed or used.
Partial Refund: A partial refund may be provided in the following situations:

Tutoring Services: If part of the tutoring package has been used, the refund will be prorated based on the number of sessions that were provided.
Events & Workshops: If the refund request is made within 72 hours but less than 24 hours before the event, a partial refund (e.g., 50%) may be issued.
Programs & Resources: If the program or resource has been partially accessed, the refund will be prorated, considering the amount of access or participation already provided.
No Refund: A refund will not be issued if:

The refund request is made after the applicable timeframe.
The service or event has already been fully provided or completed.
Materials or resources have been used or accessed.
4. How to Request a Refund
To request a refund, please email our Customer Support team at [support@wnyspark.org] with the following details:

Full Name
Contact Information
Service/Program/Event purchased
Reason for the refund request
Any supporting documentation (e.g., proof of purchase, date of service, etc.)
Refund requests will be reviewed on a case-by-case basis. You can expect a response within 7 business days of submitting your request.

5. Exceptions
In exceptional circumstances, such as emergencies or medical situations, WNY Spark may offer a partial or full refund even outside the outlined policy. Such requests will be reviewed on an individual basis and are subject to approval.

6. Cancellations
Tutoring Services: If a scheduled tutoring session is canceled by the client with less than 24 hours' notice, the session will be considered non-refundable.
Events & Workshops: Cancellations for events with less than 72 hours' notice may result in a partial refund depending on the situation.
7. Modifications
WNY Spark reserves the right to modify this refund policy at any time. Any updates will be reflected on this page and become effective immediately upon posting. Refunds will be governed by the policy in effect at the time of the request.
